What Power Automate is and what it automates
Power Automate is Microsoft's tool for automating tasks across applications. A flow starts with a trigger (an email arrives, someone fills in a form, a file appears in SharePoint, it is Monday at eight) and continues with actions: save, copy, notify, request an approval, write a row in Excel. You build it in the browser by joining blocks, without writing code.
It has two halves. Cloud flows connect services through connectors: Outlook, Teams, SharePoint, OneDrive, Excel, Forms or Planner, plus services from other vendors. Power Automate for desktop handles what has no connector: it clicks, types and copies data in Windows programs and websites, the way a person would (what is known as RPA). Knowing which half fits each case is half the craft.
The parts of Power Automate we work with
From what an office uses most to the more advanced.
Automated, instant and scheduled flows
The three kinds of cloud flow: those that start on their own when something happens, those you launch with a button and those that run at a set time. Most office tasks are solved with them.
Microsoft 365 connectors
Outlook, Teams, SharePoint, OneDrive, Excel, Forms and Planner: how to read and write in each one, which permissions the flow acts with, and why a SharePoint list usually keeps data better than a shared Excel file.
Approvals
Getting sign-off on an invoice, a holiday request or a document through Teams or email, with a one-click answer, a reminder if nobody replies and a record of who approved it and when.
Power Automate for desktop (RPA)
Recording and refining flows that work with Windows programs and websites without a connector: moving data from a PDF into the management software, downloading reports from a portal, filling in the same form a hundred times.
Copilot in Power Automate
Describing the flow in your own words so Copilot suggests the steps, then checking it before you turn it on: what it understood, which connector it chose and what it left unfinished. Available if your organisation has it switched on.
Flows and Copilot Studio agents
How a flow calls a Copilot Studio agent and how an agent uses flows to act in your applications. For teams that already work with agents or want to start.

Real processes that get automated, by department
Examples of the kind of flow we build in class. In company training we start from your team's own processes.
Administration and finance
Invoices arriving in the invoices mailbox are saved to the supplier's SharePoint folder, each one is logged in a list and, above a set amount, the flow asks the manager to approve before payment.
Human resources
A holiday request made in Forms goes to the manager for approval, is added to the team calendar and the person gets the answer. When someone joins, their onboarding tasks are created in Planner automatically.
Sales
Every contact that comes in through the website form is saved to a list, the sales channel in Teams is notified and, if nobody has called by the deadline you set, a reminder arrives.
Operations and customer service
Emails in a shared mailbox are sorted by topic, a task is created for whoever should handle them and the customer gets an acknowledgement with a realistic timeframe.
Management
Every Monday morning a summary of the week's figures arrives, taken from an Excel file or a SharePoint list, without anyone having to put it together by hand.
Programs without a connector
A desktop flow opens the management software, copies the day's orders and moves them to the tracking sheet. It is the kind of task that has no connector and that someone has been doing by hand for years.

Syllabus of the 8-hour course
This is how the open-group edition is organised: four two-hour blocks, each ending with a finished flow. For companies, the syllabus is adapted to your processes and your licences.
- 01
Basics and your first flow
What a trigger, an action and a connector are. We build an automated flow from start to finish, test it and read its run history to understand what happened at each step.
- 02
Microsoft 365 and approvals
Outlook, SharePoint, Teams and Excel working together: saving attachments, writing to a list, posting to a channel and requesting an approval with a reminder.
- 03
Logic, data and errors
Conditions, loops and expressions to handle data; what to do when a step fails, how to find out and how to leave the flow documented so someone else can understand it.
- 04
Desktop, Copilot and where to go next
A flow with Power Automate for desktop, another built with Copilot and checked by hand, and the list of tasks in your job that are worth automating first.

Licences: what Microsoft 365 includes and what costs extra
Many Microsoft 365 business plans include Power Automate with the standard connectors: Outlook, Teams, SharePoint, OneDrive, Excel, Forms, Planner and approvals. That is enough to build and run cloud flows for most office tasks. Power Automate for desktop can be used on Windows 10 and 11 to build and run flows on your own computer.
These cost extra, with the Power Automate Premium licence or other Microsoft licences: premium connectors (databases, other vendors' services, HTTP requests), custom connectors, the on-premises data gateway and triggering desktop flows from the cloud. In tailored training, if something premium is needed, your company provides the licence or we quote it as a separate line, at cost.
In the open group we work with what is included: cloud flows with standard connectors and desktop flows on your own computer; premium features are shown as demonstrations. For the practice you need a work or school account with Power Automate enabled and access to Outlook email, SharePoint and Teams. Not every Microsoft 365 plan includes them (Microsoft 365 Apps, for example, has no SharePoint or Teams): we check with you before the edition. Power Automate for desktop only runs on Windows (not on Mac or on computers with ARM processors): with a Mac you do the cloud part and follow the desktop part on screen. Microsoft changes its plans often, so we check its official documentation before each edition.
n8n or Power Automate: when each one fits
If your company works with Microsoft 365, Power Automate is usually the starting point: it comes with many licences, integrates with SharePoint, Teams and Outlook, and is managed by the same administrator as the rest of Microsoft. For approvals, documents and alerts inside Microsoft it is the natural choice, and of the two it is the only one that automates desktop programs.
n8n fits better when the work crosses many tools that are not Microsoft (Google Workspace, a CRM, an online shop, your own APIs), when you want to decide where the data lives by installing it on your own server, or when the flows use a lot of AI with models from different providers. Some companies use both: Power Automate for the Microsoft side and n8n for the rest. If you are not sure, we look at it with your case in the first conversation.

Frequently asked questions
Do I need to know how to code to learn Power Automate?
No. Flows are built by joining blocks in the browser. It helps to be comfortable with Excel and with the idea of «if this happens, do that»; the expressions for handling data are covered in the course, step by step.
Which licence do I need for the course?
For the open group you need a work or school account with Power Automate enabled and access to Outlook email, SharePoint and Teams. With that you can do almost all the practice: cloud flows with standard connectors and desktop flows on Windows. Not every Microsoft 365 plan includes them, so before the edition we check with you what you will be able to practise with your account. What requires Power Automate Premium is shown as a demonstration. In company training we work with your licences.
How is Power Automate different from n8n, Make or Zapier?
Power Automate is built into Microsoft 365, includes approvals and also automates desktop programs. n8n, Make and Zapier are more neutral about the tools they connect, and n8n can also be installed on your own server. If you work with Microsoft, Power Automate is usually the first step; if almost everything is outside Microsoft, probably not.
Is the Power Automate course eligible for FUNDAE funding?
For companies in Spain, yes, in full or in part, subject to available credit and applicable requirements. IAescola is an organising entity: we notify FUNDAE of the group and prepare the documentation; your company applies the rebate to its contributions and keeps its own obligations. It does not apply to individuals.
Can you build our first flows?
Yes. Besides training the team, we can build the first flows with you on your own processes, test them and explain how they work so you can maintain them. That part is a separate service: it is not training, it is quoted separately and it is not covered by FUNDAE funding.
Can I take the Power Automate course on my own, without a company?
Yes. We run 8 h open-group editions for people who come on their own, live online or in person in Catalonia. Join the list for the next edition and we will write to you with the date before you pay anything. FUNDAE funding is for companies training their staff, so it does not apply to individuals.
