The school AI protocol, ready to adapt

An open template for management teams and working groups who must decide how AI enters the school this year. Choose the stages and the tools, and the protocol is written using the Catalan Department of Education and Vocational Training guidance available up to 5 October 2026.

This is not an official model and the Department has not reviewed it. Adapt it and have it approved by the school's governing bodies.

In three sentences

  1. 1The protocol sets the Department's age bands, which tools are used and which data are never entered into them.
  2. 2With students, only tools that the Department makes available and whose data protection impact assessment has been validated may be used.
  3. 3It forms part of the school's organisation and operating rules, and the school council (consell escolar) approves it on a proposal from the management.

The protocol is written as you choose

Each option changes the articles and annexes. When you have it, copy it into Word or Google Docs, or print it.

Stages taught
Department tools you plan to use

In June 2026 the Department was reviewing their impact assessment. If you tick none, the protocol states that students do not use generative AI until a validated tool is available.

Protocol for the use of artificial intelligence

[School name] · School year 2026-2027

Draft made with the IAescola open template (CC BY 4.0), based on the guidance of the Catalan Department of Education and Vocational Training in force on 5 October 2026. It must be adapted and approved before it is applied.

Article 1. Purpose

This protocol sets out how artificial intelligence (AI) tools are used at [School name], by students and staff, in accordance with the guidance of the Catalan Department of Education and Vocational Training and with Regulation (EU) 2024/1689 (AI Act).

Article 2. Principles

AI is used critically, ethically and responsibly, in the service of learning. It does not replace the educational process or the teacher's pedagogical judgement, and its use in the classroom must be intentional and consistent with the learning objectives.

Article 3. Use by students

Students under 14 do not directly use general-purpose generative AI tools. The teacher gives them an introductory literacy lesson: what AI is, how it works and what risks it carries.

Students aged 14 to 17 may use the tools authorised in the article on tools with the authorisation of their family or legal guardian (annex 1), in a guided way and under the teacher's supervision.

Students aged 18 or over use them autonomously and responsibly, under the same criteria for disclosure and data protection.

The band depends on each student's age, not on the year group: a single class may include students from two bands.

Article 4. Authorised tools

With students, only AI tools that the Department makes available to schools and whose data protection impact assessment (DPIA) has been validated are used. Until at least one has been validated, students do not use generative AI tools at school.

Staff do not recommend to students tools that do not meet this condition.

Article 5. Data protection

No personal data of students, families or staff (names, grades, reports, images or addresses) is entered into any AI tool. Data is anonymised and, whenever the tool allows it, training on conversations and persistent memory are switched off.

Article 6. Student work and assessment

When a piece of work has been done with the help of AI, the student declares it (declaration annex). AI may support assessment, but it is never the only reference for grading. The results of AI detectors are not used as evidence. No systems that infer students' emotions are used.

Article 7. Research project

If AI has played a significant role in the process or in the writing of the research project (treball de recerca), the student states this in the report and attaches a signed declaration on the use of AI, detailing the requests made (prompts). The oral defence also serves to check authorship and understanding of the work.

Article 8. Working group and training

The school sets up a working group that monitors this protocol and proposes how to incorporate AI into educational work. Staff who use AI tools receive training so that they have sufficient knowledge, as Article 4 of the AI Act requires.

Article 9. Families

The school informs families of this protocol at the start of the school year and asks them for the authorisation in annex 1 for students aged 14 to 17.

Article 10. Approval and review

This protocol is incorporated into the school's organisation and operating rules. It is approved by the school council (consell escolar), on a proposal from the management of the public school or the owner of the state-subsidised school (centre concertat), and is reviewed every school year and whenever the Department publishes new guidance.

Annex 2. Declaration of the use of AI in a piece of work

  1. Tool or tools I used: ______________________
  2. What I used them for: ______________________

How to use it

Where is it incorporated and who approves it?

In the school's organisation and operating rules (NOFC). Under the decree on school autonomy, the school council (consell escolar) approves them, on a proposal from the management of the public school or the owner of the state-subsidised private school (centre concertat), and they may be approved as a whole or in parts.

Why does the family sign the authorisation and not the teacher?

Because the official summary of the guidance published by the Catalan Government on 28 September 2026 says so: from age 14 to 18, use is permitted with the authorisation of the family or legal guardian, guided by default and under teacher supervision.

Can I recommend ChatGPT or another tool to students?

The June 2026 instructions for teacher training say that only tools whose data protection impact assessment has been validated by the Department may be recommended, and that the Department was reviewing those of Gemini, NotebookLM and Copilot. That is why the template, by default, authorises none.

What happens when the Department publishes the new guidance?

The XTEC AI space plans an update for October 2026. When it comes out, review the protocol against the full text. We will update this template and mark it with the review date.
